Logistical Information & Navigating Madison

 

Air Travel

CFS will pay the travel expenses of participants traveling to JSIT, subject to University regulations. You must book your ticket through the University’s contracted travel agency via the instructions provide by Hallie Lienhardt. Please contact Hallie if you have any questions at hallie.lienhardt@wisc.edu/608-890-0229. You should have been sent instructions on how to book your flight, it is important to follow these instructions in order for your travel to be covered.

It is about a 15 minute taxi ride from the workshop location to the Dane County Regional Airport. It is a small airport. However, we suggest that you allow 1 1/2 hours from the time you leave the UW–Madison campus to the time of your flight departure.

Ground Transportation

Mileage for Private Vehicles: Mileage will be reimbursed at the rate of $0.585/mile. The daily originating location and destination must be provided and an explanation for mileage in excess of the most direct route. Reimbursement is limited to the lowest cost means of transportation.

Taxi Service: Currently there is no airport shuttle service to and from the airport to the workshop hotel. Therefore, you will need to take a taxi or an Uber/Lyft to the Graduate Madison Links to an external site.. Taxis can be found at the north end of the airport terminal, adjacent to baggage claim, Door 7. Reasonable charges for taxis to and from the airport or hotel are reimbursable. A receipt is only required for taxi fares exceeding $25.00. Please provide to/from information for all taxi fares on your travel reimbursement form.

  • Lyft and Uber are available in Madison, including the airport
  • We will encourage JSIT scholars and speakers arriving at the same time to share a taxi or Uber/Lyft if possible. Hallie will assist with these logistics.

Hotel

Lodging will be provided for all participants at the Graduate Madison Links to an external site., available for six nights maximum dependent on travel plans. Reservations will be secured by the Center for Financial Security; rooms will be billed directly to CFS. You will receive a reservation confirmation via email from the hotel by the end of May. 

If transportation options are not available to accommodate this schedule, there are a limited number of hotel rooms held for scholars and speakers who need to leave the day after the workshop (Saturday).

Please note that UW travel regulations do not permit us to pay for the expenses of a spouse or guest, for any incidental expenses incurred at the hotel, or for extended hotel stays. You will be responsible for any of these charges upon check out.

Delays/Cancellations: If you have to cancel your trip, please inform Hallie Lienhardt, hallie.lienhardt@wisc.edu/608-890-0229, as soon as possible, so we can alert the hotel and avoid cancellation fees. If you experience travel delays and won’t be able to check in on the day of your reservation, please contact the hotel directly to inform them of your plans, so that your reservation is not cancelled, but email Hallie at hallie.lienhardt@wisc.edu as well.

Parking: The Graduate Hotel offers an indoor parking garage (entrance on Langdon Street). Please let Hallie (hallie.lienhardt@wisc.edu) know if you will need parking throughout your stay.

Participants are expected to walk between the hotel and workshop venue. It is an approximately 5-minute walk between the hotel and Pyle Center. If you require transportation between the hotel and Pyle Center, please contact Hallie Lienhardt, hallie.lienhardt@wisc.edu/608-890-0229, by June 1, so special transportation arrangements can be made.

Non-University Parking Option

The closest hourly parking lot is the State Street Campus Garage Links to an external site., a municipal parking ramp about a block from Pyle Center.

Meals & Refreshments

  • Breakfast, lunch, and snacks will be provided each day of the workshop at Pyle Center.
  • Participants will be on their own for dinners all nights with the exception of Tuesday, June 14th when a group dinner will be held on the patio of the Graduate Madison. Please see a list of local Madison restaurants for dining options. Taxi fares to restaurants are not reimbursable.
  • If you have any dietary restrictions or special needs, please let us know in advance through the online registration form.
  • Meal & Incidental Expense (M&IE) Per Diem: Reimbursement for meals not provided during the workshop and for certain incidentals during travel will be paid on a per-diem basis. First and last travel days are pro-rated at 75% of the per diem. The per diem is also reduced for meals provided by CFS. No meal receipts are required. Participants are asked to refrain from paying for other participant’s meals and requesting reimbursement for those meals. Doing so will complicate and may delay the reimbursement process.

The workshop hotel and conference center are located in downtown Madison within walking distance to the Capitol square, the heart of UW-Madison's campus, and State Street, a shopping and dining destination.
